Candidate privacy notice

What happens to your resume and your details once you send them to us, who can see them, how long we keep them and how to get them removed. Last updated October 28, 2026.

This notice is for people who apply to a role, send a resume or join our talent list. It sits alongside our privacy policy, which covers the website as a whole. Where the two differ for candidates, this notice applies.

Who is responsible

Tetra Connects, with offices in Cumming, Georgia, United States and Visakhapatnam, Andhra Pradesh, India, decides how candidate information is used. Write to info@tetraconnects.com about anything on this page.

What we collect from you

  • Your name, email address, phone number and the city and state you are in or want to work in.
  • Your resume, and anything in it: employment history, education, skills, certifications and any links you include.
  • A LinkedIn or portfolio link, if you give one.
  • The type of work you want, your availability and your rate or salary expectation if you tell us.
  • Your answers to our work authorization questions: whether you are already authorized to work in the United States without sponsorship, and, for federal contract roles that require it, whether you are a United States citizen.
  • Notes a recruiter makes from a conversation with you, including what you said about your experience.
  • Interview feedback from a client, where they give it.

What we do not ask for

Please do not send us a Social Security number, a date of birth, a passport or driver’s license number, bank details, or a photograph. We do not need any of these to consider you for a role. If a client’s onboarding process later requires an identity or background check, that is handled separately, with your consent, through a secure process, and only after an offer stage.

We do not ask about race, religion, national origin, sexual orientation, gender identity, disability, age, marital status, union membership, political views or health. If information like this appears in your resume because you chose to include it, it plays no part in how we assess you.

Where we get information

Most of it comes from you. We may also see your details through:

  • a job board or professional network where you made your profile available to recruiters;
  • a referral, where someone passed your name on; or
  • one of our partner recruiting firms, where they have your permission to share your profile with us.

If we contact you about a role and you had not applied, tell us how we reached you and we will say where your details came from.

Why we use it

  • To assess whether you fit a role we are recruiting for, and to talk to you about it.
  • To submit you to a client or prime vendor. We ask before each submission and tell you which company and role.
  • To arrange interviews and pass on feedback.
  • To onboard you if you are placed, including payroll and employment paperwork for our own W-2 consultants.
  • To tell you about other roles that match what you are looking for, while you want us to.
  • To meet record-keeping duties that apply to employers and recruiters.

Submission to clients

We do not submit your resume to a client or prime vendor without asking you first for that specific role. If a recruiter cannot reach you, your resume waits. If you tell us not to submit you to a particular company, we record that and respect it.

Automated tools and human review

We use ordinary search and filtering to find candidates in our own records, for example by skill, location or availability. A person decides whether to contact you, whether to submit you and what to tell the client. No decision about you is made by software alone. Our AI screening notice explains this in more detail, including how to ask for an alternative or an accommodation.

Who sees your information

  • Our recruiters and administrators, in the United States and India, after signing in with a password and a second step. We keep a record of who opens what.
  • Clients and prime vendors, for the role you agreed to be submitted for. They then handle your information under their own rules.
  • Partner recruiting firms, only where the role came through them and only with your agreement.
  • Service providers who run our systems: our web host, our email provider and, where used, a bot-protection or analytics provider. They act for us and may not use your data for their own purposes.
  • Others, where the law requires it, or to protect safety and security.

We do not sell candidate information, and we do not pass it to advertisers.

Where it is processed

We work from the United States and India, so your information may be handled in either country by our own staff.

How long we keep it

Up to 24 months after our last contact with you, then it is deleted. If you are placed through us, employment and payroll records are kept for as long as tax and employment law requires, which is longer. You can ask us to delete your details sooner.

Your choices

  • See what we hold. Ask and we will tell you.
  • Correct it. Send a new resume or tell us what is wrong.
  • Delete it. Ask and we will remove your profile and resume, except where we must keep a record by law. We will confirm when it is done.
  • Stop hearing from us. Reply to any message, or write to us, and we will stop contacting you about roles.
  • Withdraw a submission. Tell us and we will inform the client that you are no longer a candidate.

Write to info@tetraconnects.com from the email address you used with us, so we can check who you are. Depending on where you live, you may have further rights under local law.

Security

Forms use an encrypted connection. Resume files are kept outside the public part of the web server and can be opened only by signed-in staff with two-step verification.

Work authorization, stated plainly

We do not sponsor work visas for any role. Candidates must already be authorized to work in the United States. For federal contract roles that require it, we recruit United States citizens, because the contract or the law requires citizenship for that position. We ask these questions to avoid wasting your time, not to screen on national origin.
